Big Cost-reduction with Digitisation of Driving Mileage logbook
Simple introduction
Cost-saving with vehicle tracking no matter the fleet size.
Digitization of the logbook for vehicles provides fuel savings and maintenance savings of up to 15%, as well as increased security for correct and fast invoicing of driving milages to customers.
But there is great skepticism about the digitization and tracking of company vehicles. It requires great understanding of the purpose and effect, but of course also consistency. The skepticism is often emotional, uncertainty and what does it mean for my own salary payment. Tracking or monitoring can also introduce uncertainty about future work situation.
"We have great success with the implementation of digital logbooks, which are integrated with the company's project, time or accounting systems"
Many companies still use a manual logbook, which is located in the car and the logbook should be updated daily. A manual logbook is cumbersome and time consuming.
There may be several obvious reasons for digitizing the good old logbook. The most obvious reason for most companies is:
– Easy and simple documentation for Tax Agency (SKAT)
I have been involved in implementing a system in Sweden that meets the requirement for documentation from the ‘Tax Agency’. Implementation has been cumbersome, as it had to be informed and negotiated with the union due to considerable skepticism and not least the fear of surveillance.
It is most often documentation to Tax Agency like SKAT, which is discussed, when the desire for an electronic logbook is discussed or planned.
But I say that there are several reasons for digitizing the vehicle driving logbook, as the manual logbook often presents challenges for both the administrative and the operational staff. The best reasons can be:
– Easy and simple documentation for tax agency (eq. SKAT)
– Easy, fast and efficient registration of driving (company and private related)
– Optimal utilisation of fleet
– Cost-reduction
– Increased revenue
How to get the most out of digitization?
Several of the existing systems for electronic drive logbooks can produce the necessary information for the Tax authorities like SKAT, but I believe that the biggest gain in digitization lies in an integration with the company’s project, time or financial management system. It will be much easier to access the necessary driving information (data).
The required data can automatically be moved from the GPS tracker with a system integration via an open API (application program interface). Thereby one can achieve the full effect;
– Easy and simple documentation for Tax Authorities like SKAT
– Easy, fast and efficient registration of driving (company and private related)
